This policy explains how Skyward Collective Ltd looks after personal information in the Care Circle app and on this website. We have written it in plain English. If anything is unclear, please email us.

1. Who we are

Care Circle is made by Skyward Collective Ltd, a company registered in England and Wales (company number [add after registering]). Our registered office is [add registered office address].

We are the data controller for the information in Care Circle. This means we decide how it is used and we are responsible for protecting it. We are registered with the Information Commissioner's Office (ICO), registration number [add ICO number].

You can contact us about privacy at info@skywardcollection.co.uk.

2. What we collect

Information you give us

  • Account details: your name, email address and, if you choose, a photo and phone number.
  • Circle details: who is in your circle, their role, and what they are allowed to see and do.
  • Care information: details you or others in your circle add about the person being cared for. This can include their name, date of birth, health conditions, medications and doses, appointments, notes, emergency information, contacts, and photos or documents you upload, such as letters.
  • Messages to us: anything you send when you contact support.

Information collected automatically

  • Activity in the app: who added or changed something and when, so the circle has an accurate care log.
  • Technical information: your device type, operating system, app version, a notification token so we can send reminders, and basic error reports when something goes wrong.

We do not collect your location, your contacts list or your browsing history, and we do not use advertising or tracking tools.

Health information is special

Information about someone's health is special category data under UK data protection law. It needs extra protection, and we only use it to run Care Circle for your circle.

3. Information about other people

Care Circle is about looking after someone else, so you will often add information about a person who may not use the app themselves.

Before you add information about someone, please make sure you are allowed to. That usually means one of these:

  • they have agreed to you doing it;
  • you have legal authority to act for them, such as a Lasting Power of Attorney for health and welfare, or you are their parent or guardian; or
  • it is clearly in their best interests and they are not able to decide for themselves.

Anyone whose information is in Care Circle can contact us to use their rights, even if they do not have an account.

4. How we use it

  • To run Care Circle: show your circle's information to the people in your circle, keep it in sync across devices, and keep the care log.
  • To send the reminders and alerts you have turned on, such as missed-dose reminders.
  • To send important messages about your account or the service, such as security alerts.
  • To answer your questions and give support.
  • To keep Care Circle secure, prevent misuse and fix problems.
  • To meet our legal obligations.

We do not sell your information, use it for advertising, or share it with data brokers. We do not use your care information to train artificial intelligence, and we do not make automated decisions about you that have legal or similarly significant effects.

The law says we must have a valid reason, called a lawful basis, for using personal information.

What we doOur lawful basis
Running your account and your circleContract: we need it to provide the service you signed up for.
Storing and sharing care and health information within your circleExplicit consent, given by you when you add it. Where the person being cared for cannot consent, the person acting lawfully for them gives it.
Reminders and alertsContract, and consent for notifications, which you can turn off at any time.
Security, error reports and improving reliabilityLegitimate interests: keeping the app safe and working.
Keeping records the law requiresLegal obligation.

You can withdraw consent at any time by deleting the information, leaving the circle, or contacting us. This does not affect anything we did before you withdrew it.

6. Who we share it with

People in your circle. Members see what their role allows. The person who created the circle controls who is invited and what they can do.

Service providers. We use a small number of trusted companies to run Care Circle. They only act on our instructions, under contracts that require them to protect your information:

  • secure cloud hosting and database services, to store your circle's information;
  • Apple and Google, to deliver notifications to your phone;
  • an email provider, to send sign-in and account emails; and
  • an error-reporting service, to tell us when the app crashes.

Notifications never include health details on your lock screen. They say something general, such as "A dose is due", and you open the app to see more.

When the law requires it. We may share information if we must by law, or to protect someone's life in an emergency.

If the business changes. If Care Circle is ever transferred to another company, your information would only move under this policy or with your agreement, and we would tell you first.

7. Where it is stored

Your circle's information is stored on secure servers in the UK or the European Economic Area. Some service providers, such as Apple and Google for notifications, may handle limited technical information outside the UK. When that happens, we make sure legal safeguards are in place, such as the UK International Data Transfer Agreement or the UK–US data bridge.

8. How long we keep it

  • While your account is open, we keep your information so Care Circle works.
  • If you delete something, it is removed straight away from the app and from our systems within 30 days.
  • If you delete your account or a circle, we delete the information within 30 days. Secure backups are overwritten within a further 30 days.
  • If an account is unused for 2 years, we will email you, and delete it if we do not hear back.
  • Support emails are kept for up to 2 years.

9. How we keep it safe

  • Information is encrypted while it travels between your phone and our servers, and while it is stored.
  • Each circle is kept separate, and access is checked on every request so people only see what their role allows.
  • Only a very small number of authorised people at Skyward Collective Ltd can access our systems, and only when needed, for example to fix a problem you have reported.
  • If there is ever a security incident that puts your information at risk, we will tell you and the ICO as the law requires.

10. Your rights

Under UK data protection law, you have the right to:

  • see the information we hold about you and get a copy;
  • correct information that is wrong;
  • delete your information;
  • download your information in a format you can take elsewhere;
  • restrict or object to how we use it; and
  • withdraw consent at any time.

You can delete your account in the app from Settings, or email us. We will reply within one month. Using your rights is free.

11. Children

You must be 18 or over to create a Care Circle account. Information about a child, for example when a parent looks after a disabled child, can be added by a parent, guardian or someone with legal responsibility for them.

12. This website

This website does not use cookies, analytics or tracking. Our website host keeps basic server logs, such as IP addresses, for a short time to keep the site secure. If you email us, we use your message only to reply.

13. Changes to this policy

If we make important changes, we will tell you in the app or by email before they take effect. The date at the top shows when this policy was last updated.

14. Contact and complaints

If you have a question or a concern about your information, email info@skywardcollection.co.uk and we will do our best to help.

If you are not happy with our answer, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
